Event Information & Policies


Room Assignments
Conference rooms assigned in accordance with anticipated attendance. Revisions to the number in attendance may necessitate moving your group to a more suitable room at the discretion of the Inn. Groups with multiple-day meetings may need to take meeting materials with them at the conclusion of each day, or arrange for storage in advance (due to evening functions occurring in the same room).

Confirmation/Status
Glasbern holds event space on a tentative basis until the Special Function Agreement, Credit Card Authorization and Advance Deposit are received. Once received, all applicable terms will then apply to your upcoming event. Your function will be considered definite and all itinerary and requirements are needed by Glasbern a minimum of two weeks prior to your event. A complete Banquet Event Order will be created with the final details of your event. A signature is required on the final Banquet Event Order, approving all orders for the event five (5) business days in advance of the function date.

Guarantees and Minimums
Glasbern requires final guaranteed attendance five (5) business days prior to your event, before 12 o'clock noon. This guarantee number is not subject to reduction. Glasbern is not responsible for service to more than 5% over the guarantee. If a guarantee is not received within the stated time frame, you will be charged for the original maximum estimated attendance or the actual attendance, whichever is greater. In the event that the attendance exceeds the guaranteed maximum, we will make every reasonable effort to accommodate the extra number of guests with the same or comparable arrangements.

Cancellation
Upon reserving event space, you acknowledge that Glasbern has made arrangements specifically for the date and time of the event contracted. You will be subject to cancellation fees for any event cancelled two weeks or less before the event. This two week fee is stated on the agreement. The fee for cancellations within 72 hours (business days), is equal to 100% of the estimated charges for the event including facility fee, food and beverage, audio visual, gratuity and taxes.

Payment
Payment for all functions is governed by Glasbern's credit policies. All events must be paid in advance based on the estimate from the guaranteed number given for food, beverage, room rental, tax and service charge. The completed credit card authorization will be utilized for all charges unless other arrangements have been made in advance. For all social functions, the preferred method of payment is by check. Any balances at the conclusion of the event must be finalized with Glasbern staff.

Security
Glasbern reserves the right to inspect all private functions held on its premises. This right includes setting the volume of entertainment and public address systems to avoid disturbing other guests. Any damages to the Inn's property caused by function guests shall be charged to the client. The client assumes responsibility for the actions of him/herself and guests including payment for theft, damages, or other liability. Glasbern shall not assume any responsibility for damages or losses of any personal property displayed or stored on its premises.

All private evening functions must be concluded by 11:00 pm.

Event Food and Beverage
All food and beverage items must be purchased and prepared by Glasbern. Menu selections must be received two weeks prior to event date, with final guaranteed counts provided to Glasbern five business days in advance of the event. A service charge of 20% will be applied to all food and beverage purchases. A 6% Pennsylvania Sales Tax will be applied to all food, facility fee and equipment rental.
